About the Role

The Vice President, Supplier Relations is responsible for building and maintaining strong, strategic relationships with the company's land and river suppliers. This role oversees all aspects of supplier management, from supplier selection and contract negotiation to ongoing performance monitoring, marketing planning, and relationship development. The VP, Supplier Relations ensures a robust supplier portfolio that meets the needs of our agencies and supports the company's goals and objectives.

Key Responsibilities

Strategic Sourcing and Supplier Selection

  • Identify, evaluate, and select suppliers that align with the company's needs and strategic objectives.

Contract Negotiation and Management

  • Negotiate favorable contracts with suppliers.
  • Manage contract terms and ensure compliance with agreed-upon obligations.
  • Secure competitive advantages and value-added benefits for our agency affiliates.

Relationship Management

  • Build and maintain strong relationships with key supplier contacts at all levels.
  • Serve as the primary point of contact for supplier-related matters.

Performance Monitoring and Evaluation

  • Track supplier performance against key metrics, including production, overrides, and marketing spending.
  • Conduct regular performance reviews and implement corrective actions as needed.
  • Collaborate closely with the sales team to drive revenue and maximize company objectives.

Annual Strategic Marketing Plans

  • Understand available supplier promotional opportunities.
  • Develop annual marketing and promotional plans that maximize revenue and provide suppliers with exposure to our agencies through marketing programs, products, and events.

Risk Management

  • Identify and mitigate potential supplier-related risks, including supply chain disruptions and financial risks.

Cost Optimization

  • Partner with suppliers to identify cost-saving opportunities and optimize procurement processes.

Team Leadership and Development

  • Lead and mentor a team of professionals, fostering a collaborative, accountable, and high-performing environment.

Communication and Collaboration

  • Communicate effectively with internal stakeholders across departments.
  • Collaborate with cross-functional teams to ensure company objectives are achieved.

Additional Responsibilities

  • Perform other duties and special projects as assigned.

Requirements

  • Demonstrated ability to negotiate favorable contracts and effectively manage supplier relationships.
  • Strong problem-solving skills with the ability to address supplier-related issues and challenges.
  • Ability to analyze data, identify trends, and develop strategic recommendations and action plans.
  • Ability to create strategic marketing and promotional plans that optimize supplier investments and drive revenue growth.
  • Proven ability to build relationships, lead teams, and influence stakeholders.
  • Strong understanding of procurement processes, inventory management, and logistics.
  • Minimum of 10 years of related experience in the travel industry.

Supplier Relations Coordinator

The Supplier Relations Coordinator will interface with clients and the in-house marketing team to execute and manage marketing programs supporting a diverse range of travel products. The ideal candidate is highly organized, relationship-focused, analytical, and capable of managing multiple projects in a fast-paced environment.

Key Responsibilities

  • Provide administrative and operational support to the Supplier Relations team by assisting with supplier inquiries and coordinating requests with the appropriate internal stakeholders.
  • Maintain supplier contact information, profiles, and records within company databases and CRM systems.
  • Liaise with the marketing team, ensuring campaigns, promotions, and training activities are executed according to plan.
  • Provide administrative support by loading marketing plans into the CRM system and monitoring supplier invoices to ensure accuracy and timely payment.
  • Compile and distribute performance metrics and other routine reporting.
  • Support the administration of preferred partner programs and other supplier initiatives, investigate and resolve issues related to delivery delays, invoice discrepancies, or service concerns promptly.
  • Assist the Supplier Relations team with training-related activities, including coordinating supplier communications, managing logistics, and supporting conference and webinar execution.
  • Prepare meeting agendas, presentations, and recap notes for supplier meetings.
  • Monitor project timelines and follow up on outstanding deliverables with suppliers and internal stakeholders.
  • Assist with researching industry trends, competitive offerings, and supplier opportunities.
  • Identify and communicate operational issues or process improvements to management.
  • Provide general administrative and project support to the Supplier Relations team.

 

Requirements:

  • Strong organizational and project management skills.
  • Excellent verbal and written communication abilities.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Proficiency in Microsoft Office, particularly Excel and PowerPoint.
  • Attention to detail and strong follow-through.
  • Ability to build and maintain positive relationships with suppliers and internal stakeholders.
  • Analytical skills with the ability to interpret sales and performance data.
  • Problem-solving mindset and willingness to adapt in a fast-paced environment.
